My Work v2 is Released – Business Process Enablement for SharePoint

Our GovCon customers have lots of processes.  Now, with My Work v2 they have a way to easily automate departmental and cross-organizational processes and to provide users with a convenient way to get their work done.

My Work is an R3 solution that you just drop into any SharePoint environment (SharePoint 2010 or SharePoint 2013). It allows you to create structured processes that work on existing SharePoint applications and resources.  And, you can create stand-alone processes with their own application data.

Unlike other workflow tools you don’t have to install or manipulate “code” where the application data lives.  It is all configured in My Work which then connects to information across the SharePoint environment. You also don’t need SharePoint Designer or Visual Studio.  Your processes are defined and built in My Work using our configuration wizards.

Key Features of My Work

Here is a listing of the key features of My Work that you’d expect in a business process/workflow tool.

  • My Work Console – convenience of one place to go to get work done
  • Configurable Process Actions – approvals, send back, work completion, reject, etc.
  • Configurable Request Forms – included and configurable and reusable
  • Automated Workflows – serial, parallel, conditional branching, combinations

  • In process user forms – let users get work done as part of the process

How My Work differs from other workflow tools

It’s all in the name – My Work. We start with the idea of a centralized user experience – a single place to go for users to get their work done.  We also are aiming at making the process a rich experience that can be more effective and not just more efficient. And, as a provider of off-the-shelf business solutions for GovCon we assume that you have business applications running on SharePoint that you want to process enable. These objectives drive some unique capabilities as follows:

  • My Work Console – We could have built workflow into each business solution that we sell. The challenge, particularly in GovCon organizations, is that many of the business processes are cross-functional. This means that the people involved in a process often are not day-to-day users of the business solution. It is too challenging to train them how to use each solution. Instead, the single My Work Console consolidates the work from the different processes into a single, consistent user experience – the My Work Console.
  • Workstream Visibility – When users go to the My Work Console to see their work items, they don’t just see the items that they need to work on. Instead they see all of the items in a process that they have a role in – as requestor, co-owner or any step in the process. This gives requestors a view of where their items are and participants a sense of what is coming “down the pike”.
  • User Engagement – With visibility we enable users to engage during the process.  They can make comments, send emails and perform other User Actions at any time. This ad hoc and collaborative activity complements the structured workflow.
  • Record Views –  Each process has its own Record Views.  These are multi-tab views of information.  They can pull information from anywhere across SharePoint and outside of SharePoint. They put information that users need to make informed decisions at their fingertips.
  • In Line assignments – When people take action in the structured workflow they can add people to the workflow on an ad hoc basis. This is great when the user knows that a person is unavailable in an approval process or when they want to include some additional people in a review step.
  • Cross-connect displays – The My Work console can also have displays of external information from anywhere across SharePoint. The user can then see information such as opportunities from a remote application and kick off a process. Just super convenient.
  • Role-based Snaplets – Drawing on the core of My Work v1, My Work v2.0 continues to allow you to create role-based Tabs with displays, reports and features that work with process information or any other information from anywhere across your SharePoint environment. We call these add-in features Snaplets. The Tabs and individual buttons (pages) can both be security trimmed by individual or group.
